In the course of completing this survey, you may have chosen to provide information about yourself (‘personal data’). We (the University of Oxford*) are the ‘data controller’ for this information, which means we decide how to use it and are responsible for looking after it in accordance with the General Data Protection Regulation and associated data protection legislation.
How we use your data
We will only use your data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another related reason and that reason is compatible with the original purpose. If we need to use your data for an unrelated purpose, we will seek your consent to use it for that new purpose.
We are processing your data for this purpose only and you have given us your consent to do so by completing and submitting the survey. You can withdraw your consent at any time by contacting Sally King at firstname.lastname@example.org. We will only be able to do this if you have provided your email address (as otherwise we will not be able to identify which data is yours) In this event, we will stop the processing as soon as we can. However, this will not affect the lawfulness of any processing carried out before your withdrawal of consent.
If you have provided your email address, and your consent to contact you regarding further studies, we may use your data to contact you about such studies. Your email address will be downloaded and stored separately from the other data that you have provided.
Who has access to your data?
Access to your data within the University will be provided only to those who need to view it as part of their work.
We may share your data with companies who provide services to us, such as data collection. These companies are required to take appropriate security measures to protect your data in line with our policies. We do not allow them to use your data for their own purposes. We permit them to process your data only for specified purposes and in accordance with our instructions.
Where we share your data with a third party, we will seek to share the minimum amount necessary and only for the purposes for which you have given consent.
Retaining your data
Your data will be held for a maximum of one year. In accordance with GDPR guidelines, you may request to access or delete your data at any time before then. We will only be able to do this if we are able to identify it as your data (ie if you have provided your email address).

Where we store and use your data
Your email address will be stored securely and separately from your other data, in electronic form on password-protected files within the University Network.
The data collector for this survey is OnlineSurveys (https://www.onlinesurveys.ac.uk), which provides services to the University of Oxford and is certified to ISO 27001 – the recognised security standard. All Online Surveys user and respondent data is stored in the EU.
